York Manor has been a beloved gathering place in Highland Park for decades, and now it’s part of the Meadow family—a neighborhood clubhouse for work, creation, and connection. We’re looking to assemble a small team of Venue Coordinators for Events to help us bring unforgettable events to life.
This is not a event planner position—you’re the venue’s voice and steady hand. You’ll guide clients through every step of their event from our side of the fence: making sure they have the right information, know what’s possible (and what’s not), and feel supported from their first walkthrough to their last guest heading home. You’ll work both independently and alongside your fellow coordinators to ensure York Manor is always set, ready, and shining.
Location: Meadow at York Manor
Start Date: ASAP
Compensation: $25/hr
Schedule and hours: Flexible. Must be available on nights, weekends, and holidays. We will be hiring multiple people for this role to work as a team and independently.
What You’ll Do
- Be the main point of contact for assigned events, from booking to breakdown.
- Share responsibility with the events team to cover all scheduled events—sometimes solo, sometimes with backup.
- Answer client questions, explain policies, and provide accurate details like floor plans, measurements, AV specs, and furniture inventory.
- Conduct site visits and walkthroughs to help clients envision and plan their event.
- Coordinate with clients, vendors, and our team for smooth setup, operations, and teardown.
- Keep the venue looking and feeling its best—clean, organized, and camera-ready.
- Make sure events stay within Meadow’s guidelines (noise, décor, safety) while keeping the vibe positive.
- Solve problems quickly and gracefully when the unexpected happens.
- Document event details and communication so the whole team stays in the loop.
- Represent Meadow with professionalism, warmth, and confidence—always.
What We’re Looking For
- Experience in event coordination, hospitality, or venue operations (preferred).
- A confident communicator—clear, friendly, and professional in writing and in person.
- A natural organizer who thrives on details.
- Comfortable working as part of a team and on your own.
- Knows how to say “yes,” “no,” and “let me check on that” in all the right moments.
- Tech-savvy enough to manage Google Workspace and pick up venue AV basics.
- Flexible schedule—must be available for evenings, weekends, and the occasional holiday.
- Unflappable under pressure and quick to find solutions.
- Polished, reliable, and committed to making every event feel special.
